Closing The Gap Presenter Agreement

 

This Presenter Agreement is made and entered into by and between CLOSING THE GAP and the Presenter. Hereinafter, the term “Presenter” shall include the individual named below, “Presentation” shall be used to include the specific session, presentation, or poster session, and “The Event” shall refer to the conference organized and hosted by CLOSING THE GAP.

The organization and staging of the The Event necessitates the commitment of substantial operational resources and detailed logistical coordination, involving, inter alia, the execution of binding contractual obligations for many services, including venue space, audio-visual services, and exhibition premises. This Agreement is deemed essential to ensure the integrity and adherence to the Event’s schedule and to justify the significant planning and operational expenditures incurred by CLOSING THE GAP.

In consideration of CLOSING THE GAP approving and scheduling the Presentation, the Presenters agree to abide by the following provisions:

GENERAL LOGISTICS & REQUIREMENTS

1. Conference Structure and Contingency

CLOSING THE GAP is anticipating and planning for the 2026 Annual Conference to be an in-person event in Minneapolis, MN. However, CLOSING THE GAP reserves the right to change the 2026 Annual Conference to a virtual event.

2. Registration Requirement

All presenters are required to register for the 2026 Annual Conference. CLOSING THE GAP will provide a discounted three-day conference rate, which is only valid if the presenter completes registration on or before September 1, 2026.

3. Scheduling and Presentation Commitment

The Presenter agrees that the Presentation may be scheduled at any date/time, at the sole discretion of the CLOSING THE GAP conference organizers.

Presentations/Sessions: All general sessions and presentations will be scheduled on Wednesday or Thursday, October 21–22, 2026.

The Presenter makes a final commitment to present and agrees not to withdraw the accepted Presentation after this Agreement is executed.

4. Presenter Withdrawal and Substitution

If any Presenter is unable to deliver the Presentation, the Presenter shall immediately notify CLOSING THE GAP by emailing mturek@closingthegap.com, and must propose an appropriate replacement to deliver the Presentation, subject to the sole approval of CLOSING THE GAP.

5. Presenter Expenses

All Presenter expenses (including but not limited to any and all travel expenses) related to this Presentation are the sole responsibility of the Presenter.

CONTENT INTEGRITY & ACCESSIBILITY

6. Presentation Integrity & Content Fidelity

Presenters must maintain fidelity to the accepted proposal’s summary. The core content, topics, and learning outcomes presented must be consistent and congruent with the session description provided in the call for proposals.

Presenters shall not defame any individual, organization, or company, or use discriminatory, false, or unauthorized information.

7. Material Submission and Accessibility (Handouts)

To allow for proper Presentation promotion, the Presenter must submit all Presentation Handout/Materials (including but not limited to PowerPoint slides, handouts, session materials, etc.) to the Organizer no later than October 1, 2026. Complete handout instructions will be specified in the presenter portal.

Final Presentation Materials will be made accessible to conference attendees through the conference app and website or other means.

The presenter(s) are required to ensure their presentation materials (slides, videos, etc.) are fully accessible, which includes captioning within the session. Captioning instructions will be made available in the presenter’s portal.

8. Commercial Content Policy

Commercial promotion, and/or solicitation of any type is prohibited at any time during the Presentation. The focus of the presentation shall be the educational process and not the promotion of any commercial products.

The Presenter acknowledges that CLOSING THE GAP does not endorse any commercial products in use at any institution. Institutions may reference commercial products that have assisted the institution.

If a commercial product is to be identified in the Presentation, the Presenter shall obtain any and all required permissions for identification of the commercial products by the vendor or third party responsible for the commercial products, in accordance with this Agreement.

COMPLIANCE

9. Compliance and Removal

The Presenter agrees to comply with all CLOSING THE GAP rules and procedures governing this Presentation as well as those for the entire event, as further outlined in the Attendee Agreement signed during registration.

Failure to comply with CLOSING THE GAP rules and procedures, failure to provide Presentation Materials or additional items required for the Conference program, or failure to respond to CLOSING THE GAP communications may result in a Presentation being removed from the program.

CLOSING THE GAP reserves the right to cancel the Presentation at any time prior to its delivery. If CLOSING THE GAP cancels the Presentation, this Agreement shall cease and terminate, and the Presenter understands and agrees that CLOSING THE GAP shall not be liable to the Presenter for any costs, expenses, travel expenses, or damages because of such cancellation.
