Description:
This session will guide participants through the step‑by‑step evolution of a school district Assistive Technology (AT) program from paper‑based documentation to a fully automated digital workflow. The presenter will begin by briefly describing the original challenges faced by a small AT team, including incomplete referrals, inconsistent data collection, and delays in services for students with disabilities. Participants will then examine how those challenges were addressed through intentional planning and the use of widely available Google Workspace tools.
The session will progress by outlining how existing AT documents were systematically converted into Google Docs, Google Forms, and automated workflows using Google Sheets and the AutoCrat add‑on. Concrete examples will include AT referral forms, parental consent forms, AAC home interviews, classroom observations, and device loan agreements for AAC and other AT equipment. Participants will see how form submissions trigger automated document creation, file naming, and storage, reducing manual data entry while improving consistency and accuracy.
Next, the presenter will demonstrate how these workflows will extend beyond student‑specific documentation to support broader program operations. Examples will include AT staffings, Accessible Educational Materials (AEM) determinations, professional development documentation, and assistive technology software license requests such as Read&Write and LessonPix. Emphasis will be placed on how automation supports timely decision‑making and equitable access to technology for students with disabilities while reducing the administrative burden on providers.
Throughout the session, participants will be provided with practical planning considerations, common pitfalls, and strategies for managing repeated questions, multi‑area referrals, and form permissions. The session will conclude with a discussion of scalability and sustainability.
